Monthly and Annual Electronic Financial Statements / Accounts Payables

Seaflower handles all Accounts Payables for the Association. We produce monthly financial packages for the Board of Directors. Our property management software has a special area for Board Members to login to, to view the financials. All owners and Board Members will be given access to their own private online portals where they can pay condo fees, assessments, and other charges, view important documents, and make maintenance requests.

The financial package posted to the Board’s portal every month consists of the following reports in this order:

  • Current Financial Month Profit & Loss
  • YTD Profit & Loss
  • Annual Budget Comparison
  • Balance Sheet
  • Trial Balance
  • General Ledger
  • Aged Receivables
  • Aged Payables
  • Bill Detail
  • Bank Statement
  • Reconciliation Report
  • Copy of all Paid Invoices

Maintenance of Checking, Savings and Reserve Accounts

We perform monthly checking and reserve account bank reconciliations and include the Reconciliation Reports in the monthly financial package.

Assessment, Collection, and Accounting of Fees

Our property management software is quite robust in accounts receivables and accounts payables.

In addition to checks and money orders, residents are able to pay their charges online through their private portal for free using their checking or savings account (credit/debit cards are not free). They can make one-time payments or set it so a payment comes out automatically. We can also draft the funds directly from the Resident’s bank account (ACH). Our office is cash-free, however, our software does allow for cash payments at approved vendors, like CVS, for example. We follow the condominium documents with regards to collections for delinquent residents. We pursue the funds all the way to an attorney, if need be.

Advanced Collections (Extra cost)

Should a condo owner need to be sent to an attorney for advanced collection, Seaflower Property Group charges a flat fee of $150.00 per file sent to the attorney. That is typically collected when the attorney collects on the delinquent amount.

Preparation of Annual Budgets

At their direction, we will assist the Board of Directors in developing and preparing an Annual Budget for the association.

Tax Preparation

We prepare all the reports necessary to file the association’s tax returns.

Tax Return Filing (Extra cost)

If desired, Seaflower can file the Association’s tax return if they are a standard non-profit filing for $200.00.

File and Record Maintenance

We keep most documents secured on our network. We also keep any paper files securely stored at our office.

Financial Assessment – Long Range Plan – Review (Extra cost)

If the Board would like to involve Seaflower in assisting them to look back on past financials, prior to management, to review the bank accounts, and plan long-term financial and maintenance goals, we can do this. For document and financial review, Seaflower charges $55/hour.
